Head of Workplace & Operations

As part of developing our People function, we're creating a role that didn't exist before - one that brings together HR operations, technology, and workplace experience under a single leader who can make them work as one.
This role is for someone who understands that every process, every system, and every office says something about what it feels like to work here, and who has both the operational accuracy and the human sensitivity to get that right.
What you'll lead
You'll have direct responsibility for an integrated operations unit where People Operations and IT work as one team. Now we have 10 people working for these teams. Together, they own the full operational backbone of our organisation: HR processes, systems, data, workplace, and the technology that makes all of it run.
The measure of success isn't just that things run, but how people feel about it. Every digital touchpoint in the employee lifecycle, onboarding flows, absence reporting, performance conversations, payroll notifications, is a moment of experience. Our offices demonstrate how much we value the people who work in it. Your job is to make both of these things consistently good.
Your mandate is to keep reliable day-to-day HR operations running while simultaneously redesigning how those operations work: fewer manual steps, more intelligent workflows, and a clear path toward AI-native processes across the employee lifecycle. The guiding question is always: does this make the experience better for the people who use it?
You'll own our workplace experience end to end, ensuring our offices are well-functioning, appropriately sized, and genuinely pleasant places to work. This goes beyond facilities management: you'll think about how physical spaces support collaboration, focus, and a sense of belonging. You won't do all of this yourself; you'll organise the work across your team and make sure the right things get done.
You'll also ensure that digital employee experience keeps pace with physical experience. As we automate and redesign processes, you'll hold the standard: technology should make things simpler and more human, not more bureaucratic.
Another key part of the role is data. People Business Partners need timely, relevant, and actionable people data to do their jobs well. You'll make sure the team produces that data proactively, not just when asked, but as a natural output of how the function runs.
Finally, you'll own something we haven't had a clear owner for: AI Data Governance for people-related data. You'll work with our Legal Advisor and CTO to close that gap.
What we're looking for
You've led cross-functional operational teams before, ideally at the intersection of HR, technology, and workplace. Especially experience in HR is seen as an advantage. You understand how these disciplines reinforce each other, and you know how to get the best out of people.
You think about the workplace not just as facilities, but as a reflection of culture and you know how to keep offices running smoothly. You care about the details of how it feels to join the company, get help from HR, or receive a piece of automated communication.
You understand what People Business Partners need from data: insight that helps them have better conversations with the business. You'll build the rhythm and the structures that make this happen consistently.
You're comfortable with ambiguity. You build structure rather than wait for it. You have a genuine drive to simplify and automate, and you know when human judgment still matters.
Experience with labor legislation and data governance or compliance frameworks is a strong advantage.
Fluency in Finnish and English is required.
What success looks like
In your first 30 days, you'll map the full operational picture: team capacity, process gaps, systems backlog, data governance risks, workplace needs, and a clear view of where employee experience is strongest and where it falls short. By 90 days, at least one process will be AI-native, People Business Partners will be receiving regular data they actually use, and the combined team will be functioning as one unit. In six months, we've gained clear time savings from manual work, and the people going through our processes notice the difference.
We've recently invested in a new HR system. The foundations are in place. What we need now is someone to take those foundations and build on top of them, processes that are faster, smarter, and genuinely easier and more human for the people who use them.
This role reports directly to Director, People & Strategy, and has real scope to shape how the function evolves over the next few years.

We have offices in Helsinki and Lappeenranta, so preferable location is either one, since this role requires regular presence at both locations.
The salary range in this position is estimated to be around 5500-6800 €/month depending on your relevant experience and seniority, but we are happy to hear your expectations.
